Picture a Tuesday evening. Three batches are running at once and a coach has called in sick. A parent has messaged you for the third time about a fee receipt, and last week’s attendance sheet is still sitting in someone’s WhatsApp. You open the fee spreadsheet and can’t tell who has paid for the month.

Most academy owners reach the point where the spreadsheets stop working. That’s usually when they start looking at sports academy management software, and the first question is nearly always the same: what will this cost me every month?

The honest answer is that it depends. Below I’ll explain why prices vary so much, how the common pricing models work, what to check beyond the headline price, and how to work out whether the software pays for itself in your academy.

What Does Sports Academy Management Software Cost?

Published prices range from a few dozen dollars a month to several hundred, and some vendors don’t publish a price at all. That spread isn’t random. Four things drive it:

  • Student numbers. Some platforms charge per student, so your bill grows with enrollment. Others charge a flat fee for a band of students.
  • Features. Scheduling and attendance are often the base. Fee collection, performance tracking, branded apps, reporting and multi-branch controls can push you into a higher tier.
  • Support and setup. Some vendors include onboarding and data migration. Others leave them out or quote them separately.
  • Your academy’s shape. One sport at one location is a different job from five sports across three centres.

If you run an academy with 200 or 300 students, or more, a monthly subscription is a real line in your budget. Software isn’t automatically cheap just because it’s software. The useful question is what you get for the money and what else you’ll pay on top.

Common Pricing Models

Per-student pricing. You pay a set amount for each student each month. With 120 active students at $2 each, you pay $240. It’s easy to understand and scales with your size. Check how “active” is defined: are paused, seasonal or trial students counted?

Fixed monthly or annual subscriptions. You pay one price regardless of student numbers, usually up to a limit. This suits larger rosters, because the cost per student falls as you add students. It can feel expensive if you’re small, since you’re paying for capacity you aren’t using yet.

Tiered plans. The vendor offers, say, three plans, each with more features and a higher student limit. The risk is that the feature you actually need, such as a branded app, sits in the top tier.

Custom pricing. The vendor asks about your size, sports and locations, then gives you a quote. It’s common with academy-focused platforms because needs vary so much. The downside is that you can’t compare prices without a conversation.

Many vendors combine these. A flat subscription plus payment processing fees plus optional add-ons is very common, so comparing only the first number can mislead you.

How Does Pricing Change as Your Academy Grows?

To see how per-student pricing behaves, here’s a simple illustration at a hypothetical $1 per student per month. These are arithmetic examples only. They aren’t a quote, and they aren’t a guaranteed rate for any academy.

100

$1,000

200

Cost rises in a straight line with enrollment, which makes budgeting predictable. Flat plans work differently: the price stays the same until you pass the plan’s student limit, then steps up to the next tier. That can make flat pricing cheaper per student as you grow, but it can also mean paying for room you don’t use yet. Either way, the subscription is only part of the picture.

Potential Additional Costs to Ask About

None of these apply to every provider, and some vendors include several for free. They’re worth asking about in writing.

  • Setup and onboarding. Does the price include configuring the system, training your coaches and helping you go live?
  • Data migration. If you have years of student records, attendance and payment history, can they be imported? Is there help cleaning up the data, and does it cost extra?
  • Payment processing. This deserves the most attention. Look at the percentage, any fixed per-transaction fee, currency conversion, chargebacks, payout timing, and whether the academy or the parent absorbs the cost. For an academy collecting a lot in fees, processing can add up to more than the subscription itself.
  • SMS and WhatsApp messaging. Email reminders are rarely a problem. SMS and WhatsApp may have usage limits or per-message charges.
  • Premium features and integrations. Branded mobile apps, advanced reports, AI features and accounting integrations are common upgrade points.
  • Annual billing and contract terms. Check the minimum commitment, renewal terms, cancellation notice and refund policy, and whether the price rises at renewal.

How Can Software Help an Academy Save Time?

Software doesn’t coach your students, but it can take busywork off your plate:

  • Organised student records. Contact details, guardians, batches and history sit in one place instead of four spreadsheets and a phone’s chat history.
  • Easier attendance tracking. Coaches mark attendance on a phone during the session, so nobody types up paper registers afterwards.
  • Clearer fee visibility. You can see who has paid and what’s pending without a monthly reconciliation exercise. Good sports academy fee management tools also send reminders automatically.
  • Smoother scheduling and communication. Schedule changes and reminders go out the same way every time, instead of depending on who remembered to message the parents. Sports academy scheduling tools keep batches, courts and coaches in one calendar. How much time this saves depends on how you work today. An academy with a tidy system will save less than one living in spreadsheets, so measure your own numbers instead of trusting a general claim.

How to Calculate ROI

You don’t need anything fancy:

ROI (%) = (Annual benefit − Annual cost) ÷ Annual cost × 100

The work is in estimating the benefit honestly. Stick to things you can measure, and don’t count the same gain twice.

Here is a hypothetical example. It isn’t an industry average and isn’t a SportStr result. The $1 per student figure is an assumed number for illustration only, not SportStr’s price. Assume a 200-student academy paying $1 per student per month, which is $2,400 a year, and two benefits:

  • Admin time saved: 5 hours a week at a loaded staff cost of $15/hour. That’s 5 × 52 × $15 = $3,900.
  • Better fee collection: annual billings of $300,000, with collections improving by 1 percentage point. That’s $300,000 × 1% = $3,000.

Total benefit is $6,900. Net gain is $6,900 − $2,400 = $4,500, so ROI is $4,500 ÷ $2,400 = about 188%.

Now stress-test it. If you save only 2 hours a week, admin time is worth $1,560, total benefit is $4,560, and ROI falls to about 90%. If your actual software cost is higher than $1 per student, it falls further. I’ve left payment processing out to keep the example simple, but include it in your own calculation. I’ve also left out extra enrollments, because they’re hard to attribute honestly. If you count them, use a cautious number. Your real savings depend on your existing processes, costs and results.

Is Software Worth It for a Small or Growing Academy?

It depends on where your pain is.

If you have 25 students, one coach and a spreadsheet that works, you may not need to pay for anything yet. Some platforms have free tiers for very small academies, which is worth trying.

Things change when you’re chasing fees every month, double-booking courts or coaches, losing track of attendance, or answering the same parent questions repeatedly. Growth makes it worse, because every extra student adds admin. If you’re adding a second sport or location, a single system becomes valuable fast. Multi-sport academy management software lets you run each sport from one place instead of keeping separate records.

A practical test: write down how many hours a week you and your staff spend on admin, and what that costs. If the number is already larger than the software would cost, the decision is easier. If you’re unsure, ask for a trial or a pilot with one program before committing the whole academy.

What Should You Check Before Choosing a Platform?

Ask every vendor the same questions:

  • How is pricing calculated: active students, registered students, coaches, locations or modules? Are paused or seasonal students billed?
  • What do onboarding, migration and training include?
  • What are the exact payment-processing fees, and who pays them?
  • Are SMS, WhatsApp, branded apps, reports and integrations in the base price?
  • Does it handle your sports, grading systems and coaching roles, with simple mobile apps for coaches and parents?
  • Can you export all your data if you leave?
  • What happens to pricing if you grow or add a branch?
  • What are the contract length, renewal terms and cancellation notice?

How SportStr Fits Into the Picture

SportStr is built for sports academies that want to run their operations in one place. It covers session and coach scheduling, attendance, fee management with payment reminders, and performance tracking. It also supports academies running several sports from one dashboard, with iOS and Android apps for coaches and parents.

On cost, we describe it as less than the price of a cup of coffee per student per month. That’s a rough guide, not a fixed price. What an academy pays depends on its size and requirements, so the sensible next step is a quote based on your actual numbers. SportStr isn’t the only option, and we’re not claiming it’s the cheapest. Whether it fits comes down to what your academy needs.

If you’d like to see it working for your setup, you can book a demo or contact the team for an accurate quote.

Final Thoughts

The cheapest software isn’t automatically the best choice, and the most expensive won’t necessarily fix your problems. Work out what you need, ask every vendor the same questions, and compare the full 12-month cost, including payment processing and add-ons. Pick the platform your coaches will use and your parents can follow. If the price is reasonable and the daily admin gets lighter, it’s usually money well spent.

Frequently Asked Questions

Is there a typical price for sports academy management software?

Not really. Published prices generally run from a few dozen dollars to several hundred dollars a month, and several vendors only quote on request. What you pay depends on student numbers, features and add-ons.

Under per-student pricing, yes, in a straight line. Under flat tiers, your price stays the same until you pass the student limit, then steps up to the next tier.

It varies. Some vendors or payment providers charge a percentage and a fixed fee per transaction, so check the exact rates, and who pays them, before comparing prices.

It depends on your size and requirements, so there’s no single price. Contact the team with your student numbers for an accurate quot
